Conference Regulations

General Provisions 

  1. The Baltic Nuclear Energy Forum Conference, referred to as the Conference in these Regulations, takes place on the date and location specified by the conference organizer, namely: Business for Climate Foundation.
  2. The provisions of these Regulations constitute an integral part of the Conference Participation Application and are binding on all participants of the Conference, both Guests and Partners, referred to as Participants in these Regulations.
  3. The Ordering Party is a natural or legal person who placed an order for services using the Registration Form available at https://bnef-eng.konfeo.com
  4. A Participant of the Conference is the Ordering Party who is a natural person or a natural person indicated by the Ordering Party in the Registration Form.
  5. If the Ordering Party is not the Participant, the Ordering Party expresses consent for the processing of the Participant’s personal data and consent for the use of the Participant’s image recorded during the Conference. If the Participant does not give the aforementioned consents, they must contact the organizer to have them removed.
  6. Filling out the Registration Form is tantamount to the Ordering Party’s acceptance of these Regulations.

Participation Conditions 

  1. The condition for participation in the Conference is: – Registering for the Conference by filling out the Online Registration Form. – Making a payment by bank transfer in accordance with the procedure described in the Payment Rules section of these Regulations.
  2. Confirmation of the Participant’s registration will be sent by the Organizer by email along with the proforma invoice within 4 (four) working days from the date of receiving the application via the Registration Form.
  3. Due to the limited number of places, participation in the Conference is determined by the order of applications. 4. The cost of participation, travel, and stay is covered by the Participant at their own expense.
  4. The deadline for submitting the Registration Form is set by the Organizer on the Registration Form. After this deadline, applications are possible depending on the availability of places through direct communication with the Organizer using the email contact provided on the website: https://bnef.pl/en/contact
  5. The above organizational conditions do not apply to applications submitted later than 4 days before the start date of the Conference. In this case, organizational conditions should be agreed individually with the Organizer.

Conference Rules

  1. he Organizer establishes the Conference plan and has the right to make changes in the program, even on the day of the Conference. This includes the right to change the schedule and order of presentations.
  2. The Organizer is not responsible for delays in the implementation of individual assumptions of the Conference, nor is it responsible for Participants not using any point of the meeting program.
  3. All participants of the Event are obliged to comply with the regulations of the facility in which the event takes place.
  4. The Participant bears full responsibility for any damage caused by themselves or persons delegated by the Ordering Party to participate in the Conference, on the premises of the facilities where the Conference takes place.
  5. The Organizer is not responsible for lost, destroyed, or stolen items belonging to the Participant or persons delegated by the Ordering Party during the Conference.
  6. The Participant agrees to adhere to safety rules, including fire safety, epidemiological, as well as instructions and organizational and technical commands of the Organizer’s representative.
  7. Recording or capturing the conference in any other way is not allowed without the written consent of the Organizer.
  8. The event is organized in a dual form: traditionally at the facility and in the form of an online broadcast available on the website after prior registration. The Organizer reserves the right to change the form of organization in the event of force majeure. In case of changing the form to online broadcast only, a refund of the payment will be made in the amount of the difference in costs incurred and the standard rate for online participation.

Payment Rules 

  1. If the price depends on the date of registration, its amount is determined by the date the Organizer receives the Registration Form and timely payment.
  2. The mandatory method of payment for the conference is prepayment by bank transfer to the bank account: Biznes dla Klimatu, ul. Marynarki Polskiej 163, 80-868 Gdańsk, mBank: 04 1140 1065 0000 4169 4200 1001. The transfer title should include: FIRSTNAME_LASTNAME_BNEF2024
  3. Payments for the Conference must be made within the deadline indicated on the proforma invoice.

Cancellation Conditions

  1. Cancellation of the application can be made up to 28 days before the start date of the Conference, exclusively by written statement sent by email to the Organizer’s address provided on the website www.bnef.pl
  2. Resigning from participation in the Conference after the deadline specified in section 1 of this paragraph obliges to make a full payment for participation to the Organizer’s account.
  3. Acceptance of the cancellation will be confirmed by the Organizer by email to the address provided in the application. In such a case, the Conference fee is refunded to the account number provided by the Ordering Party.
  4. If the Participant does not show up at the Conference, they are required to pay the full fee for participation in accordance with the Registration Form.

Data Protection

  1. The Data Controller in terms of the European Parliament and Council Regulation (EU) 2016/679 of April 27, 2016, on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation) (hereinafter referred to as “GDPR”) is Biznes dla Klimatu, ul. Marynarki Polskiej 163, 80-868 Gdańsk.
  2. The Personal Data Controller is responsible for the use of personal data of the Conference Participant or the Ordering Party (hereinafter collectively referred to as “Participants”).

  4. Participants’ personal data will be processed for the purpose of conducting the Conference, including creating a list of Conference participants and providing organizational information.
  5. The recipients of Participants’ personal data will be Biznes dla Klimatu and other entities providing services for the Controller, including financial settlements, accounting, legal, advisory and consulting, and archiving services, computer equipment and software services where data is stored, and all other services supporting the Controller’s activities in connection with the Conference.
  6. Participants have the right to request access to their personal data from the Controller, the right to rectify, delete, or limit processing, the right to data portability, and if the processing of personal data by the Controller is based on consent, the right to withdraw consent at any time by sending written information to the enterprise’s address or email fundacja@biznesdlaklimatu.pl
  7. Participants have the right to object to the processing of their personal data, which is not based on their consent, contract, or legal provision.
  8. Participants’ personal data will be stored for a period of 12 months, however, in case of an objection to the processing of personal data, until the objection that has been acknowledged in the manner specified in point 7.
  9. Participants have the right to file a complaint with the supervisory authority, i.e., the President of the Office for Personal Data Protection, if they believe that the processing of personal data by the Controller violates legal provisions.
  10. By registering, the Ordering Party being a natural person, as well as a natural person representing in the registration process the Ordering Party not being a natural person, consents to the processing of their personal data for the purposes of conducting the Conference, including creating a list of Participants. In case the Applicant is not the Participant, the Participant confirms their consent to data processing in accordance with §1 item 6.
  11. Providing personal data is voluntary, but necessary for participation in the Conference.
  12. The Organizer has adopted and adheres to a personal data security policy.
  13. The Organizer takes all appropriate security measures in accordance with legal provisions and generally accepted principles for the protection of confidentiality of information.
  14. The Participant consents to the use of their image captured during the Conference by the Organizer, and the Organizer reserves the right to conduct photographic sessions and video recordings during the Conference. If the Participant does not consent to the use of their image in informational and promotional materials, they are required to inform via electronic communication of the lack of consent to capture the image no later than the first day after the end of the Conference.
  15. The Organizer reserves the right to use an external service for registration.

Final Provisions

  1. The Organizer reserves the right to cancel the Conference or change the date and hours due to unforeseen events. In case of cancellation, all payments made by the Participant will be refunded by the Organizer in full.
  2. By unforeseen events, the Organizer understands: fire, flood, failure of electrical, heating, gas, water and sewage, air conditioning, or other installations, the occurrence of which could threaten the life or health of persons participating in the Conference, armed conflict, street riots, road, rail, air or other accidents that prevent travel to the place of the Conference and its safe conduct, other events that make it impossible to organize the Conference according to the program or threaten the life or health of Participants in the event of its occurrence.
  3. Sending the Registration Form signifies acceptance of the provisions of these Regulations, as well as compliance with the organizational rules and all other arrangements made between the Participant and the Organizer.
  4. During the Conference, the Organizer reserves the right to take photographs and record the proceedings in the form of photographic and video documentation of speeches and images of Participants for use in publications and on the websites and social media profiles of Business for Climate and Conference Partners.
  5. The Organizer declares that materials made available to Participants during the Conference are protected by copyright law. The Ordering Party and/or Participant has the right to use them only within the limits of personal permissible use. Copying, duplicating, disseminating, and other forms of use of these materials beyond the limits allowed by law are prohibited.
  6. The Organizer has the right to change the provisions of the Regulations. Changes come into effect 7 days after their posting on the website www.bnef.pl
  7. Any disputes arising from participation in the Conference will be settled by the court competent for the Organizer’s headquarters.
  8. In matters not regulated by these Regulations, the provisions of the Civil Code apply.
